The Executive Assistant will provide high-level administrative and strategic support to the Company Holding (CFO, CPO and other senior executives). The role will require proactive management of schedules, coordination of meetings, preparation of reports and handling confidential information with discretion.
Organize and maintain complex calendars for the Company Holding senior executives
Prioritize meeting requests and ensure effective time management
Arrange travel, accommodations and itineraries
Prepare agendas, briefings and presentations for meetings
Liaise with internal and external stakeholders to ensure timely communication
Act as a primary point of contact for internal and external communications
Draft high-quality emails, reports and presentations on behalf of executives
Manage correspondence and ensure timely responses
Assist in the coordination and tracking of key projects across the executive team
Conduct research and provide data analysis for decision-making
Handle expenses, invoices and budget tracking
Maintain document management systems and ensure all files are up-to-date
Assist with event planning and coordination for internal and external events
Qualifications
Minimum of 5 years of experience in an executive support role, ideally supporting C-suite leaders
Work experience in an international environment, preferably fast paced
Excellent German and English language skills
Proven ability to manage complex schedules and prioritize tasks effectively
Experience in working across multiple time zones and with remote teams
Strong proficiency in Microsoft Office Suite and collaboration tools
Excellent organizational skills and ability to manage multiple priorities
Strong communication and interpersonal skills
High level of discretion and confidentiality
Proactive problem-solving abilities and a strong attention to detail
Ability to work independently and as part of a team
Ability to navigate, influence and deliver in an environment where processes are not always defined
